F45 Policies & Procedures
The house rules that keep our F45 studios welcoming, on-time, and fair to everyone.
Late-Cancel & No-Show Policy
Class reservations must be cancelled at least 4 hours before class. Cancellations within 4 hours incur an $8 (+tax) Late Cancel fee. Missing a class without cancelling incurs a $12 (+tax) No-Show fee.
Late Arrival Policy
To ensure a safe, organized, and uninterrupted workout experience, members should arrive at least 10 minutes before class begins. This allows enough time to check in, get settled, and prepare for the workout. We understand that traffic and unexpected delays happen. Members who arrive after class has started may still participate only if they arrive before the warm-up ends, typically four to five minutes after the scheduled class time. Members arriving during this window will receive a reminder about the late arrival policy. For the safety of our members, anyone arriving after the warm-up has ended will not be permitted to join the class. The warm-up is an important part of preparing your body for the workout, and allowing members to enter after it has ended creates additional safety and liability concerns. Our liability insurance also requires us to maintain and enforce a late-arrival policy. If a class has a waitlist, all reserved spots may be released to waiting members at the scheduled class start time. This means that even if you arrive only a few minutes late, your spot may already have been given to another member and entry cannot be guaranteed. Please plan to arrive 10 minutes early to protect your reservation, prepare safely for class, and help us start each workout on time.
Membership Suspension — Casual
Casual suspensions are for personal reasons (e.g. vacation). Submit the online suspension form with at least 14 days' notice. Duration: 7–21 consecutive days. Fee: $35 + tax. Limit one casual suspension per calendar year; cannot be extended. Requests are not processed for accounts with a negative balance.
Membership Suspension — Medical / Military
Submit the online suspension form with 14 days' notice and supporting documentation (doctor's note stating you cannot exercise, or official military orders / signed letter from commanding officer). Documentation must include start and end dates. Duration: up to 6 months at a time, not exceeding the dates on your documentation. No fee. Multiple medical/military suspensions per year are allowed with proper documentation.
Suspension Dates & Billing Cycles
To suspend before your next billing period, start the suspension at least one day prior. No membership days are lost during a suspension — remaining days resume when your membership does, and your next billing date is pushed out by the number of days suspended.
Membership Cancellation
Cancellation requests must be made in writing via email or text to the studio's main phone or email. Telling a coach or calling the studio does not initiate cancellation. We maintain a 30-day written cancellation notice period to comply with Washington State law governing health-studio and fitness memberships. The online cancellation form must be completed within 2 weeks of your initial notice. Expect up to one additional month of billing after the request. If your membership is suspended when you request cancellation, it will be resumed and the 30-day notice begins from that date.
Early Contract Cancellation
Memberships cancelled before the end of the initial contract term are charged the early cancellation fees outlined in your membership agreement. If you are moving more than 25 miles from an F45 studio, you can provide proof of the move to waive the contract cancellation fees.
Payments & Fees
Membership fees bill weekly or monthly (per your agreement) via authorized credit card or bank ACH. Billing continues until a written cancellation is submitted per the agreement. Failed payments must be resolved within 10 days or an $18 late fee applies. Returned payments incur any bank-imposed fee plus an $18 processing fee. Bank fees charged to F45 due to a member's payment issue are billed to the member. Membership access is suspended after payments are more than 90 days overdue, and early contract termination fees may apply. Members remain responsible for all dues and fees if they cancel before fulfilling the agreed term.
